Time Zone Management for Global Consultants
Time Zone Management for Global Consultants
"Let's meet at 3pm."
"Your 3pm or my 3pm?"
"Wait, are you on daylight saving time?"
If you work with clients across time zones, you've felt this pain. Missed meetings, confused schedules, and the constant mental math of "What time is it there?"
Here's how to master time zone management.
The Core Problem
Time zones seem simple until:
- Daylight saving time changes (and different countries switch on different dates)
- You're booking a meeting between three people in three zones
- A client says "morning" but they're 8 hours ahead
- Your calendar shows one time, but the invite says another
Principles of Time Zone Mastery
1. Always Specify the Zone
Never say "3pm." Always say "3pm Eastern" or "3pm ET."
Even better: include both parties' times.
"3pm Eastern / 8pm London"
2. Use a Single Reference Time Zone
Pick one time zone as your default. All your internal scheduling happens in that zone.
Many consultants use:
- Their local time (simplest for you)
- UTC (universal, never changes)
- Client's time zone (if you serve primarily one region)
3. Let Technology Handle Conversions
Stop doing math. Use tools that:
- Show your calendar in your local time
- Send invites in the recipient's local time
- Handle daylight saving transitions automatically
4. Build Buffer for Zone Transitions
If you work across many zones, designate certain hours as "overlap hours" when you're available to any region.
Example: 8am-12pm ET overlaps with Europe afternoons and is early enough to catch Asia evening.

Best Practices for International Booking
On Your Booking Page
- State your time zone clearly: "All times shown in YOUR local time"
- Limit available hours to what works across your target regions
- Add buffer time for context switching
In Meeting Invites
- Always use calendar invites (not just email confirmations)
- Include dial-in/Zoom info with timezone-agnostic formatting
- Add a reminder 1 hour before in case of confusion
For Regular Clients
- Agree on a standing meeting time and zone upfront
- Create a shared calendar with recurring bookings
- Send reminders before daylight saving changes
